Why your shift schedule belongs in the family calendar
In hospitals, care homes, the police, transport or manufacturing, shift work does not follow a Monday to Friday routine. The family still needs to know who picks up the children on Tuesday, whether Dad will be home for dinner on Saturday and when the house has to be quiet after a night shift. A rota pinned up in the staff room or on the fridge is missing exactly when someone arranges an appointment on the go.
- Plan childcare: who takes the children to school, who collects them from after-school care or nursery? With shifts in the calendar, gaps show up weeks ahead.
- Protect sleep: after a night shift, mornings need to be quiet. When everyone can see that Mum is asleep until noon, nobody starts vacuuming at eight.
- Book appointments at the right time: the dentist, a parents’ evening or a birthday party no longer lands on a late shift, because whoever adds the event can see the rota.
- Find time together: weekdays off are precious. Seeing them early makes it easier to plan a day out or a visit to the grandparents.
Common shift rotations
Every employer has its own rota, but most follow one of these patterns. The times in the table are typical examples; start, end and breaks vary by industry.
| Pattern | What it looks like |
|---|---|
| Two shifts | Early shift roughly from 6:00 to 14:00, late shift from 14:00 to 22:00. People often switch every week, with weekends off. |
| Three shifts | Early, late and night, the night shift roughly from 22:00 to 6:00. The rotation changes weekly or in short runs, for example two earlies, two lates, two nights and then four days off. |
| 12-hour shifts | Day shift roughly from 6:00 to 18:00, night shift from 18:00 to 6:00, with longer blocks off in between. Common in emergency services and round-the-clock operations. |
| Monthly rota | In hospitals and care homes, early, late and night duties change irregularly, and the rota often arrives month by month. What matters most is getting it into the calendar quickly. |
Family life around shift work: six tips
- Enter the rota straight away: as soon as the new schedule arrives, put it in the calendar. The earlier the family sees it, the easier childcare is to arrange.
- Agree on fixed family time: a shared breakfast on a day off or one fixed family dinner a week gives structure when every day looks different.
- Make rest visible: young children understand shift work better when they can see when a parent is working and when they are sleeping.
- Factor in the helpers: grandparents, a childminder, school lunch clubs or neighbours often step in. Add their turns as events so everyone knows who is in charge when.
- Update every swap: if you swap a shift, change it in the rota right away. An out-of-date calendar is worse than none.
- Compare two rotas: if both parents work shifts, put both rotas in the same calendar. Days when you both work at the same time stand out early.
Your shift schedule in JH FamilySync
In JH FamilySync, the Time clock handles your shift schedule. It sits under Everyday and is part of Premium. You set up your shifts and rotation once and the app takes care of the rest.
- Set up the time clock
Tap Everyday and then Time clock. The first time, you see Set up the time clock; later everything is under Settings. Enter your workplace under Employer.
- Choose shift work
Set the Working time model to Shift work and open Shifts and rotation.
- Create your shifts
Tap Add shift or use one of the Templates: Early from 6:00 to 14:00, Late from 14:00 to 22:00, Night from 22:00 to 6:00. You can adjust the name, start, end, Break in minutes and colour. A shift that ends after midnight is marked Ends the next day. Up to four shifts are possible.
- Create the rotation
Under Rotation, switch from No rotation to Rotation and pick the first day under Starts on. Then tap a day to switch between your shifts and Off. Add day makes the sequence longer, up to 56 days, and The next 14 days show you right away whether everything is correct.
- Add it to the family calendar
Turn on Add to the family calendar. Your planned working hours for the next eight weeks appear as events under your name, for example “Work – City Hospital (Night)”, visible to the whole family.
Vacation, sick days and public holidays are left out of the family calendar. A night shift appears on the day it starts, with its start and end, for example 22:00–06:00. If you swap a shift, choose Shift for this day in the day view and pick another shift or Off; As in the rotation brings back the plan. You enter vacation or sick days with Add absence. The family calendar is updated whenever you change something in the time clock and each time you open it.
The time clock does more than the schedule: with Start, Break and Stop you record your working time, it keeps your Overtime balance and vacation account, and it gives you the monthly sheet as CSV or PDF. Under Region for public holidays you choose your canton or region, and public holidays can then count as days off automatically.
If you live in two households, see the co-parenting calendar. For weekly meals there is the family meal planner, and your canton’s school holidays are under School holidays and public holidays by canton.
Frequently asked questions
Can my family see when I am working?
Yes, if you turn on “Add to the family calendar” in the time clock. Your planned working hours for the next eight weeks then appear under your name in the family calendar. The eight weeks move forward each time you open the time clock. Your recorded times, balance and vacation account are visible only to you.
Do I need Premium for my shift schedule?
For the time clock, yes: CHF 2.00 a month or CHF 20 a year for the whole family, and in Germany and Austria the stores charge in euros. The first seven days are free. Simple patterns can also be entered for free as ordinary repeating events, for example every two weeks.
How does a night shift appear in the calendar?
On the day it starts, with its start and end, for example 22:00–06:00. It does not appear a second time on the following day.
What happens if I swap a shift?
Open the day in the time clock, choose “Shift for this day” and pick another shift or “Off”. The family calendar is updated. “As in the rotation” brings back your plan for that day.
Does the family get a notification for every shift?
No. Working hours from the time clock trigger no push notification and no reminder. They simply sit in the calendar so everyone can plan around them.
Can both parents add their shifts?
Yes. Every family member with their own account has their own time clock, and one Premium subscription covers the whole family. In the family calendar, shifts appear under each person’s name and colour.
